Job Description:

Novo Mission, a global Christian ministry, is seeking an experienced Administrative Coordinator to serve with their Mission Advancement ministry division. With more than 500 staff in the US and abroad, Novo is dedicated to the multiplication of gospel movements and the mobilization of the church to fulfill that mission worldwide. 

The Finance Services Coordinator is responsible for maintaining a high-quality customer and administrative support function for Novo’s Finance team as a communication bridge and systems support specialist with ministry partners (donors) and staff, and assisting the Director of Finance with administrative tasks. The Finance Services Coordinator should be organized and detail oriented, have good interpersonal skills, a basic knowledge of accounting functions, and the ability to learn new software systems with ease. This position supports a flex or remote work arrangement and reports to the Director of Finance.

Responsibilities

Primary

  • Acts as the first point of contact for donors (ministry partners) and staff, concerning gift processing and giving site issues, donation records, missing donation or donor information, etc.,
  • Researches and promptly responds to general inquiries via phone or email during defined business hours. 
  • Performs various communication and administrative responsibilities to strengthen and support the relationship between Finance, ministry partners, and staff. 
  • Manages escalated partner requests received from our after-hours phone service.
  • Routinely monitors the accuracy and confidentiality of personal ministry partner data in the giving system, updates new and existing partner information, and contacts staff members of changes or issues concerning their partners.
  • Keeps up to date on data privacy laws and updates the Director of Finance with concerns or changes. 
  • Updates giving and data privacy articles in Novo’s knowledge center, “Answers”. 
  • Assists Novo staff with the creation and maintenance of their custom donation page.
  • Maintains a quality client relationship with the after-hours phone service.
  • Ensures that general inquiries to Finance are answered promptly or transferred to the respective Finance or Operations team member.  
  • Assists with the month-end expense reimbursement process.
  • Performs other tasks as directed by the Director of Finance.

Required Qualifications

Educational Background: Bachelor’s degree preferred, or Associates degree and related experience or training.

Required Knowledge, Skills, and Abilities: 

  • A professional demeanor with a minimum of 1-year of customer service experience, preferably in a nonprofit or ministry environment.
  • Good computer and systems experience with the ability to learn and acquire new systems experience quickly.
  • Prior experience with Microsoft Excel, Google Workspace, and donation processing systems is a plus.
  • Excellent data entry skills.
  • Good interpersonal and written and verbal communication skills that allow for clear communication with others to ensure accuracy and proper interpretation.
  • Basic knowledge of accounting functions
  • Strong organizational skills with high attention to detail and the ability to effectively manage their time. 
  • Resourceful and able to collaborate with others to acquire information.
  • An effective team player
  • Above average interpersonal skills and the ability to develop rapport and inspire trust with others.

Physical Demands

While performing the duties of this job, the employee is frequently required to sit, talk and hear.  This job is sedentary, requiring the ability to sit most of the time and exert up to 10lbs of force occasionally.  The ability to speak clearly and convey detailed or important instructions or ideas accurately, and the ability to hear average or normal conversations and receive ordinary information is necessary.  

Repetitive motions requiring frequent movement using the wrists, hands, and fingers, and average and ordinary visual acuity is necessary to prepare or inspect documents or operate computers and office equipment.  Work may occur in an open office environment with frequent interruptions and background noise.
